Participation and Registration Policies

Registration By Unit (Pack, Troop, Team, Crew)

Each Pack, Troop, Team, or Crew who plans to attend WashJam should register all Scouts and leaders under one registration.  We want to communicate registration and arrival information with one point of contact for each unit, and the single registration will help simplify this.  Once the unit has registered, the number of participants can be adjusted (upward) up to and including onsite arrival.

Registration Before July 1, 2009

We strongly encourage early registration by each unit.  We want every participant at WashJam to have an outstanding experience.  That includes making sure we have provided the facilities and program for everyone.  We can only have adequate preparations if we can realistically estimate attendance.  Please register before July 1 so that you have a great time and we have a smooth running event.

The fee for Scouts and leaders is $35 per person before July 1.  This covers most program expenses, site fees, and onsite water and sanitary facilities.  Units will be camping, providing their own food and shelter, and doing their own cooking.  There will be very limited availability of food and beverages from vendors on site.  No open fires or charcoal cooking is permitted.  Please bring gas stoves for cooking only.

There are significant benefits to registering before July 1.  These include:

  • A special edition of the WashJam patch for your participants
  • Seating in a preferred area at the two shows
  • Broader choice of campsites
  • Expedited on site check in

Registration Requirements

A registering unit must be currently chartered in their council and the leadership attending WashJam must include the proper leadership required for their program (Cubs, Scouts, etc.) required by the Guide to Safe Scouting.  Units attending from other regions (e.g. Scouts Canada) must provide leadership according to the equivalent rules and standards of their program.

Registration After June 30, 2009

From July 1 through the beginning of WashJam, the participant and leader fee will be $45 per person.  Units are encouraged to preregister at least 60% of their expected final number before July 1.  Those that do so will earn the preregistration benefits for their entire unit, but registrations after June 30 will be $45 per person.

Day Visitor Registration

Scouts, Varsity, and Venturing participants will benefit from the full WashJam program and should plan to camp.  We plan an exciting program for Cubs as well and encourage camping within the limits of the rules for Cub camping.  Many Cubs and their families may have limited or no camping experience.  To accomodate Cubs as day visitors and to encourage Packs to use WashJam as a recruiting and program building tool, we invite Cub participants in particular to join us at WashJam for a single day for a reduced fee.  Cubs must be accompanied by appropriate leadership according to the Guide to Safe Scouting Guide to Safe Scouting (with their parent or with sufficient adult leadership for the Den or Pack).  The day fee for Cubs is $20 and there is no charge for day use parents or leaders.  Many Cubs may come as families, so siblings 7 and over can participate in WashJam activities also for the $20 day visitor fee.  There is no charge for siblings under 7, but parents should clearly understand that our programs are designed for ages 7 and older, and there may be few activities suitable or open to younger children.

How To Register

Units may register online with a credit card by following a link to the Chief Seattle Council WashJam calendar event  or by submitting this form  and a check.  Modifications to the registration numbers and additional payments may be made by calling the Chief Seattle Council camping department at 206-725-5200.

WashJam staff members may register using this online form.

Cancellations and Refunds

If the number of participants and leaders changes in such a way that there is no net financial impact, call the Chief Seattle Council office and ask them to adjust your numbers.  For example, if you were to subtract one participant and add one leader, the unit's total fees would remain the same.

Fees are not refundable unless a unit or camper cannot be accomodated at WashJam.  In the event of accident, illness, or extreme extenuating circumstances, refunds of up to 50% of fees may be made if requested in writing and delivered to the council office no later than 8/1/2009.
